New features

  • Grant Management Services data available from call deadline: when clicking on the "FO" button in "My projects" on the Participant Portal, you will now be able to see the Grant Management Services shortly after the call deadline instead of the confirmation screen of the submitted proposal. Note that besides keeping access to your submitted proposal data, you'll also see the target date to inform you about the evaluation results. 
  • Declaration of Honour: as soon as the invitation to prepare the grant agreement has been sent, the Coordinator will have a task available to sign the Declaration of Honour. This should be signed before a grant agreement can be proposed. 
  • New ethics process: you can now have access to live ethics information and upload your justification elements (certificates, etc) yourselves through the new Participant Portal Grant Management Services Ethics Process.


  • Participant Notification System (PNS)
    • based on feedback from (external) users, we have reviewed the content of the notifications and the recipients, so they are more effective. 
    • CC roles have only been added when they are really useful or important, others interested can check the project status any moment live in the PP, even if they haven't received a notification.
    • here's an overview of all notifications and who receives them
  • Additional access to help pages of a specific process (besides the general  button available on every page). The grant preparation and consortium requested amendments help pages are currently available, but more processes will be added in a later release. 

  • Specific Grant Agreement (SGA): a button gives you direct access to the Framework Partnership Agreement (FPA) now. 

 

New features

  • Amendments for projects on energy efficiency with the type of action Innovation Action (IA) are now supported. 

Bugfix

  • There was a problem after signature of the financial statements. The task was mentioning processing for a long time even though the signatures were properly processed. The issue has been fixed and all tasks have been unblocked.

  • Regarding the H2020 Form C "Use of Resources":  the number of person months can be entered in decimals now. 

The following amendment clauses are enabled for RIA, CSA, IA:

  • Addition of a new beneficiary *
  • Change of the status as ‘receiving EU funding’ or ‘not receiving EU funding’
  • Removal of a linked third party
  • Addition of a linked third party

  • Addition of a new beneficiary *

* Some additional guidance for addition of new beneficiary that might be useful:

  1. A new beneficiary is added when a session is open to externals or internals (this is the same way as in the GA preparation).
  2. The accession form of the new beneficiary is available as soon as the session is closed, that is, when either the "Involve PO" or the "Lock for review" button is pressed by the Coordinator.
  3. The accession form is electronically signed by the PLSIGN of the new beneficiary (in the Participant Portal).
  4. The amendment cannot be signed by the Coordinator unless all the accession forms of the newly added beneficiaries are electronically signed.
  5. Access rights assignments (e.g., PLSIGN, CoCo, …) for the representatives of the new beneficiary are done in Participant Portal by the Coordinator and are available as soon as the session is closed, that is, when either the "Involve PO" or "Lock for review" button is pressed by the Coordinator.

New features

  • When a formal notification is sent or received, there will be a trace in the audit log. This can be consulted under the project or process messages.
  • The message will display like other system messages and:
    - if the process is known, it will be linked to that process reference
    - if no process is known, it will be linked to the project number.
  • When sending a formal notification, the user will have the option to choose the related process or explicitly decide it’s not process-related. 

New features
  • Support for Commission Initiated amendments. The Commission may on its own initiative propose amendments to the grant agreement and the coordinator is invited to countersign it.
  • The system now also provides the possibility for the coordinator project specific legal authorized signatory to decline the signature of the proposed grant agreement. In this case, a reason needs to be given for the project officer.
  • First implementation to support the ethics appraisal process in the front office. In this first version, there will no explicit tasks yet as users are used to in other processes.
  • Whenever a clock is displayed, it is visually presented with the arrow pointing to the target and shows - target legal date (#legal days passed (excluding stops) / legal #days) - example: 14/12/2014 (90/92 days) which means that 2 days are left according to the legal date When hovering over the clock, a tooltip appears to give additional explanation.
  • Users will need to explicitly confirm the implications before electronically signing their financial statement.
  • The metro line for the Proposal Management & Grant Agreement Preparation process has been updated to be more standard and descriptive.

New features
  • The operating grants information is now displayed in the partner summary and in the partner LFV screens. 
  • The Validate button is now also available for closed sessions (when you can't edit). 
Bugfixes
  • The variables of all the Grant Agreement Options in amendments are now also editable by the Consortium.
  • The consumer Specific Grant Agreement type of action is now also supported. 

Bugfixes
  • For FP7 reporting: in the FormC financial statement document the "Certificate on Methodology" is set to NO, even if in the screen the checkbox was ticked. This has been corrected now. 

Bugfixes
  • Periodic reporting: the notification template informing the coordinator that a beneficiary submitted his cost statement now correctly mentions the name of the partner who submitted the cost statement.
  • There was a blank page while trying to read the PDF document sent as formal notification. This has been fixed now. 

Bugfixes
  • Correction of an issue for Health, Consumer and COSME types of action: when the reimbursement rate and/or the prefinancing amount is modified, the total budget of the project and the totals of the financial information are now correctly updated.

New features 
  • The notifications are improved to ensure the consortium is properly informed when a grant agreement is signed by both coordinator and EU.

  • Currently, as a coordinator, it is only possible to follow up tasks when the coordinator has also to perform a similar task. Most of the times, this is not an issue. So far there's only a single exception where the TP declaration is not to be uploaded by all partners. Now the coordinator will have also a means to follow-up and see a tasl "Third party declarations to sign, scan and upload by others". When clicking on the task detail, s/he will notice which LE has got such task and whether or not it is already done.

Bugfixes
  • For some tasks, you can click two different buttons. As it is recommended to only click one of the buttons, the other one will now be disabled while processing your request. F.ex. buttons "Lock for Review" and "Involve PO". 

New features 

  

  • A big yellow "plus" button is now available from the process overview page. This will be visible if at least one option is enabled and authorised to the user.
    Behind this button, users can launch a new interaction with the Service to:
    - key in a new message outside the context of a particular process


  • The access to the structured data has been removed from the project identity card.
    Instead, by clicking on the icon of each process, you can access the structured data specific per process.
    The access to the grant data from the project identity card is more clear; the link is now explicitly called 'Latest Legal Data'.
  • Further details how the grant data evolved over time can be obtained by clicking on the process title; this reveals the data as they were modified in the context of that particular process.
  • During some tasks like 'prepare grant data', you already had the option to validate data from within the form.
    Now the results of this validation is also visible in the process overview just below the task to explain why the task button is disabled.
    As a reminder, the task button is only active (yellow) when the user is authorised to complete the task and after all errors have been resolved.
  • The error messages have been clarified for the GA option screen.
  • Implementation of the HEALTH and CONSUMER types of action. 
  • The checks for the scientific reports for the European Research Council (ERC) have been corrected.
  • The Deliverable Number is now correctly displayed in the "Work Package Description" screen for Innovative Training Networks (ITN) projects
Bugfixes
  • If due dates are available, they will be visible on the metroline of each process.
    For example:
    - the proposal management is supposed to take no longer than 5 months.
    - the target timing to reach a signed grant agreement is 3 months after launching the grant preparation
    The due dates are displayed as a real date followed by the number of remaining calendar days.

Bugfixes
  • When moving, in the Grant Agreement Preparation process, from the project summary to the Financial information tab, the beneficiaries tab shows a red cross (validation error), which shouldn't be the case. This has been corrected now. 
  • Project Legal Sign detailed contact informations are not visible anymore. 

 

Bugfixes
  • The Project Legal Signatory (PLSIGN) is no longer mandatory to complete the Grant Preparation phase for the beneficiaries. The PLSIGN is still mandatory for the Coordinator and the Joint Research Centre (JRC) (if not a Joint Undertaking -JU). 
  •  All beneficiaries in the grant must be SME within the last 2 years condition is added in 1405 rule
  • For ERC projects, fixed the Grant Agreement PDF to print the country of Birth instead of the Country of Residence for the Principal Investigator

 

Bugfixes
  • The partner will now be warned if his Non Profit status is not known. A tooltip will be shown in the Beneficiaries tab, mentioning "Your Non-profit qualification is not known. This does not give you access to specific reimbursement rate you might be entitled to". 
  • In the deliverables tab, some deliverable numbers are used twice. 
  • Partner Organisations can now be assigned an effort on a work package. 

 

Bugfixes
  • It is now possible again to see the document detail related to FP7 amendments.
  • Automated amendments following changes in Legal Entity do not follow the normal amendment process and will no longer be visible in the process list. You'll still be able to see the confirmation letters in the document library as usual though.
  • Some users were facing problems with incorrect URLs towards the grant management system. This should be solved now.

 

New features 
  • The notifications sent via the Participant Portal have been optimised in several ways:
    The subject of the message starts with
    - NEW TASK: in case a new task has been published in the Participant Portal, you are invited to go to the portal and perform the requested task
    - INFO: for those in copy of a notification, this is for your information only and internal follow-up
    - ATTENTION: in case nobody has the role assigned within one or more legal entities that are addressees by the notification
    please make sure that the responsible person(s) get the required role assigned and pass him/her the notification to perform the requested task. When you are in copy of a notification, the role and name of the addressed persons within your organisation will be explicitly mentioned.
  • It is possible to add attachments to messages. This can be done only from the edit message popup where you can also apply simple formatting options.

  • In case of Universal Transfer of Rights and Obligations between two legal entities, notifications sent via the Participant Portal will address all users, which have been assigned the required role(s) in both the merger and merged legal entity.
  • Changed behaviour in the document library: documents will appear by default only once they are official. This means that they are either exchanged between both parties or linked to an official document exchanged by both parties. Documents still under preparation or signature will appear only as part of a task (e.g. to be approved and submitted or signed).
    In the project document library, it is possible to explicitly include draft and/or obsolete documents.

Bugfix 

  • The default prefinancing for H2020 Grant Agreements with three reporting periods is now calculated as 1/3rd of the "Maximum Grant Amount" (to the nearest cent). Previously it was calculated as 33.33% of the "Maximum Grant Amount".

New features 
  • Bank accounts are now partially hidden. The bank account number will only appear when typing the four last digits of the number.

Bugfix

The error "There is a problem loading processes" when logging on to the Grant Management Services Tool in the Participant Portal, has been corrected now.

The fact that the Coordinator can submit the Grant Agreement Preparation data to the EU several times didn't work correctly in the previous release. This has been fixed now.

  • When selecting a bank account, all your bank accounts will be displayed in the drop down menu now. 
  • The notifications which were sent to the L-sign by mistake, are now only sent to the LEAR.
