Manage your contract and your payments

Introduction

The online services to experts have been extended to ensure a convenient and secure platform for exchanges with the European Commission services. These services include providing your identity and bank account details, transmission of contracts, signing your contract electronically in the system using your EU Login credentials and finally, submitting your payment request online.

In order to confirm your identity, as part of the contracting process, the European Commission needs to receive a copy of your passport/identity card and bank account details.

If you are offered a contract, you will immediately need to create a Legal Identity by Modifying your personal data and Adding a Bank Account, if you have not yet done so.   

You can then manage, read and/or sign your contracts.

Viewing your contracts

To view your contracts, proceed as follows:

  1. Go to the Dashboard and click Contracts and Invitations in the Navigation bar on the left-hand side of the screen.


    You can see how many contracts you have, broken down into those received in the last year, and those older.


  2. Click the arrow to expand the section with the contract with which you wish to work.


    You can see the contracts in that section and the status of each.




    Note

    If your contract has been signed, the status will appear here as "Fully Signed".


Reading and signing your contracts

To read and sign your contracts proceed as follows

  1. Click Contracts in the Navigation bar on the left.



    The Contracts page opens.

  2. Click the relevant contract.



  3. If it is the first time you have opened the page for this contract, click the Read Contact button to download a copy of the contract to verify the details. Once the contract has been downloaded for the first time, the signature options will appear (see step 5).
  4. Otherwise, click the download icon to download a PDF copy of the contract.



  5. There are three signature options, as follows:

Option 1

I will sign my contract. I confirm that my point of departure to and from the place of the meeting is the address indicated above. I declare that to the best of my knowledge I do not have a conflict of interest in carrying out the work covered in this contract.

  • Click the first option if you agree to sign the contract, have no need to change your point of departure (PoD) and have no Conflict of Interest (CoI) issues.
  • Click the Disclaimer checkbox.
  • Click the Sign the Contract button.

Option 2:

I will sign my contract and declare a change of point of departure and/or a conflict: of interest.

  • Click the second option if you have a PoD and/or CoI issue.
  • If you require a change of your point of departure, check the A change of point of departure option, type the new city of departure in the Departure Town/city field and select the country by clicking the arrow in the Departure Country field and selecting from the list.
  • Repeat these actions for the Return Town/city and Return Country fields.
  • Enter an explanation for your change of PoD in the Exceptional and duly justified reason... field.



  • If you have a conflict of interest issue check the A conflict of interest option, then enter a full explanation in the field provided.
  • Click the Code of Conduct checkbox.
  • Click the Sign the Contract button.



Note

Once the contract is fully signed, it's possible to access the payments linked to this contract from the contract screen.


Option 3:

I decline to sign my contract (for other reasons than PoD or CoI)

  • Click the third option if you decline to sign the contract for issues other than POD or CoI.
    In this case you must enter an explanation in the box below the option (mandatory).
  • Click the Decline the Contract button...



Note

To ensure that your contract is fully signed, you can also download the contract after signature and view the electronic signatures.
Click the download link to download the contract PDF file...



..., open it and check the signatures at the end of the document.
