To manage your organisation's processes, you need to click on My Organisation(s) on the left. Then, click on the three dots menu button for that organisation and select Manage processes: active processes such as for IKAA are displayed here.

Process(es) screen 

In the Process(es) screen you will find:

  1. Details about the organisation
  2. Action buttons
  3. All available process(es)


Details about the organisation 

Click on the arrow to hide/unhide the organisation details. 


Action buttons

  • Filter available processes - the filter allows to select processes according to the process type

  • View active processes -  displays only active processes

  • View archived processes - click on the three dots to be able to consult your archived processes

    • The archived processes are completed processes and marked with . You can filter them by type clicking or you can sort them by several criteria (start date, archived date, type and reference). You can can also search for a specific process using the Search functionality. 

    • To see details about the completed processes, click on View process details. You will arrive to the Process details screen.  

  • Information button - click the button to find out more info about the page you are on.


  • Help button - click the button to access the guidance and manuals. 


  • Search functionality - to search for a particular process enter a keyword in the search box 

  • Sort by functionality - you can sort active processes by several criteria (start date, type and reference).


Available process(es)

Here are listed all available active processes. Each process is marked with an icon: 

  • if the process is at a step where the EU has to take action
  • if the process is at a step where a task awaits for the Organisation to take action


Choose the process you are interested in and click on the button View process details.

In the Process(es) screen you will find:

  1. Details about the organisation
  2. Action buttons
  3. Process ID 
  4. Process tabs

Action buttons

On the top right corner of the screen, the following action buttons are available.

  • Back to processes: by clicking on this button you will be re-directed to the list of all available processes.

  • Refresh processes: click the button to refresh  the data


  • Help button - click the button to get help with the task.


  

  Process ID 

This code corresponds to the Process ID.

  Process tabs

The process details are displayed in 4 tabs: overview, documents, history and forms. 

  • Overview

This is the main tab, where you can see at which point of the process you are and access your tasks. The information is presented into two sections: General Information on the left and Task details on the right.

    • The General Information section provides an overview of all the steps from the beginning to the end of the process. You can click on the arrows ( ) to unhide/hide the details about each step in the process. 

Colour in the steps

The steps are shown in three different colours:

  • When a step is shown in green, it means that there is no task for you to perform.
  • When a step is shown in orange, it means that there is pending tasks awaiting for your action.
  • When a step is shown in grey, it means that the process did not reach that step yet.

When the step is a system step or has been completed, i.e. the Started point, it will show only the date when the step was reached.

By clicking the arrow next to General information you can hide/unhide this panel. 


    • In the Task details section you can find our more about your task by clicking on the View task details button. 

  • Documents

In this tab, you can access all process documents. They are organised in libraries, each folder is a library. 

To access the documents, click on the folder icon. Click on the Download button to access the document.

 


  • History 

In this tab, a chronological history of the process' events and actors involved (the EU or the Organisation ) is displayed. If the process is completed, the icon will be displayed next to the process ID code.

  • Forms

In this tab, you can access the list of all saved versions of the submitted form. To view the form, click Open.

Task details screen

The various elements of the tasks details screen are detailed below:


Navigation button

Click on  Back to tasks  to display all tasks for which you need to take action.

Task Information 

Only the name of the task is displayed. Click on the arrow to see a full description of what you need to do to complete the task and which roles are able to perform the task.

 


Icons

Icons will guide you through the submission process.

The requested documents will be tagged as   (completion of task is blocked until you upload of these files) or as  (you may complete the task without them).

Document actions

You are able to download or upload documents via the corresponding buttons.

When a file has been uploaded, the following icon  will be displayed (successful upload). If you need to replace the file, use the icon to remove the current one and upload the new one.


Task completion button

Tick the confirmation that you have performed the required actions and click on the Submit button to complete the task.

Once you submit a task, it is not possible to change the provided documents and the task will disappear from the list of tasks under the process details screen.
