Teleconferences: Schedule & Accept a Remote session

From the Write CR task, the task owner (Rapporteur) can schedule a teleconference meeting by clicking on the button at the bottom of the page.

In the new page that opens up, all CR task owners are by default added to the attendees list and the user can create a meeting with a specific date / time or propose different time slots.

  1. To create a meeting with a specific date / time, click on the Date / Time field to set the date and then adjust the Estimated duration.
  2. To propose a meeting that offers multiple time slots for the participants to select from, click on and then on to add as many slots as needed.
  3. In the “Attendees” field users can add Call Coordinators, Panel Coordinators, Vice Chairs, Experts or other session users that are in the same panel by typing their first or last name or their EU ID

 

When a meeting is saved as draft and has multiple slot selections:

  • The button will appear allowing the task owner to send email notifications to the attendees.
  • Attendees can see the meeting in their dashboards and click on the Edit your availability button.


  • They can select the available selections and leave comments


  • If it is not possible to attend during any of the slots, users must simply click on the Update button (comments are optional)

The task owner can create or cancel a meeting via , and the system will automatically notify the attendees.

Once a meeting is created, the attendees will see it in their dashboard.



The Join button will appear at the time designated by the Rapporteur when setting up the meeting in the “Attendees can join” field .

Call Coordinators and Panel Coordinators can see the meeting in their Teleconferences page. Call and Panel Coordinators do not have edit rights for these meetings.

Note: When multiple meeting slots are proposed, the date / time displayed in the Date/Time field is not part of the slots to be selected by the attendees. Only the time slots displayed in the “From” fields are part of the selection grid.
