Cloning a PHYTO as CHED-PP
Important
To clone an PHYTO certificate as CHED, you must have a role as Responsible for the load.
There are three options to clone the PHYTO:
Option 1: Cloning via Search for Phytosanitary Certificates page:
If an operator responsible for the load is mentioned in box – Person Responsible for the consignment of the PHYTO certificate, any user linked to this operator can access the PHYTO and clone it as a CHED.
Search for the PHYTO via the menu Documents > PHYTO & IPPC ePhyto. Open the PHYTO or click on the ‘Actions’ button.

From the ‘Actions’ button: click on ‘Clone as CHED’.

Or from inside the PHYTO: click on ‘More’, then ‘Clone as CHED’:

The CHED-PP has now been created based on the information contained in the PHYTO. The link to the corresponding PHYTO is mentioned in the box ‘Links’.

Option 2: Cloning via the "Clone as CHED" Box
If no operator is mentioned in box – Person Responsible for the consignment of the PHYTO certificate, the responsible for the load in the EU will need to use the function ‘Clone as CHED’:
Go to the menu Documents > PHYTO & IPPC ePhyto and click on ‘Clone as CHED’.

A window will pop-up. Complete all the requested information and click on ‘Clone as CHED’.

Note
'Reference’ refers to the IMSOC reference number that can be found in box – I.2.a of the PHYTO certificate.
‘Local reference’ refers to the certificate reference number that can be found in box – I.2 of the PHYTO certificate. If there is no local reference number in the PHYTO certificate, you can leave this box empty.

The CHED-PP has now been created based on the information contained in the PHYO. The link to the corresponding PHYTO is mentioned in the box ‘Links’.

Option 3: Cloning from within a CHED-PP
In box I.9 Accompanying Documents of the CHED-PP, select ‘Add Certificate reference’.

A dropdown menu will appear. Scroll down to find ‘Phytosanitary’. You have two options, you can chose to add your phytosanitary certificate as “Manually marked as cloned from” or as “attachment”.

This will open a reference field option as seen below

You can then simply enter your IPPC ePhyto reference and, provided it can be found within the system, the ePhyto will automatically be added to the CHED-PP

Cloning an IPPC ePHYTO as CHED-PP
There are three options to clone the IPPC ePHYTO:
Option 1: Cloning via ePhyto Search
Search for the IPPC ePHYTO via the menu Documents > PHYTO & IPPC ePhyto and go to the IPPC ePHYTO tab. Open the IPPC ePHYTO or click on the ‘Actions’ button.

From the ‘Actions’ button: click on ‘Clone as CHED-PP’.

Or from inside the IPPC ePHYTO: click on ‘Clone as…’ & ‘Clone as CHED’:

This will cause the Mapping screen to open, which will be automatically populated by the information found in the ePhyto. You can still edit this information including:
The scientific name mapping,
The product type mapping,
And the commodity mapping.
If no modification is needed, or once the changes are made, click at the bottom on "Submit" to generate the CHEDPP with data pre-filled from the ePhyto.

The CHED-PP has now been created based on the information contained in the IPPC ePHYTO. The link to the corresponding IPPC ePHYTO is mentioned in the box ‘Links’.

Option 2: Cloning via the "Clone as CHEDPP" Box
Go to the menu Documents > PHYTO & IPPC ePhyto and go to the IPPC ePHYTO tab and click on ‘Clone as …’ & ‘CHED’.

A window will pop-up. Complete all the requested information and click on ‘Clone as CHED’.
If you do not have access to this information, kindly contact your supplier or the national authorities of the issuing country as you cannot proceed without it.

Note
This second option is especially useful if your Responsible For the Load (RFL) is not indicated in the ePhyto – because in this case, the document will not be visible via the regular search.
This will cause the Mapping screen to open, which will be automatically populated by the information found in the ePhyto. You can still edit this information including:
