Normal Procedure and deadline

Unless you are genuinely prevented from doing so, within 5 calendar days, you have to:

  • Send by mail, e-mail or fax a medical certificate, clearly stating your personnel number to the Medical Service. In the case that you are prevented from doing this, you must inform the Medical Service by phone.
A medical certificate is mandatory in the following cases
All absences exceeding 3 calendar days
absences of up to 3 days if you have been absent without a medical certificate for more than 12 days in total over the previous 12 months
If you are absent before or after either annual holidays or special leave and the total of days (including holidays/leave) exceeds 3 calendar days.
Note
Please be aware of the 5 days deadline for sending in a medical certificate, as it will otherwise be rejected.
In particularly difficult situations this rule can be overridden when it has not been practically feasible to do so (to be justified).

Illness or Accident during annual leave

If you fall ill or have an accident during annual leave, either at home or elsewhere, you must fax the medical certificate to the Medical Service within 48 hours. You can also notify the medical service by telephone or e-mail during this time limit. The original certificate must be sent by post afterwards.

On the fax/e-mail you have to :

  • state that you are on annual leave
  • state your personnel number and the address where you are staying and the means by which you can be contacted (telephone/fax number, etc.).

Only if you comply with these requirements will the Medical Services duly register the medical certificate as covering absence for sickness during your annual leave.
