The EU Aid Volunteers is an initiative of the European Union. It brings together volunteers and organisations from different countries, providing practical support to humanitarian aid projects and contributing to strengthening the local capacity and resilience of disaster-affected communities. Participants in the EU Aid Volunteers initiative must be over 18 years of age and be a citizen of an EU Member State or a long-term resident in the EU.

Since January 2019, Gyumri “Youth Initiative Centre” NGO has started a “BikLife” social enterprise, within the framework of which we are developing the culture of cycling in Gyumri and the surrounding areas. We have created a Bicycle rental system, we organise various bike tours, provide various touristic services and technical consultations, as well as repairing bicycles.

The aim of the project is to promote biking in Gyumri and its surroundings. The project contributes to the improved quality of life of young people, as well as to the environmental development through providing affordable services to the locals and tourists.

Capacity development of the civil society organisations in Armenia is rather sporadic, based on the agendas of donor-funded projects and not fully covering the needs of individual organisations, but rather focusing on general needs.

For YIC, the development of systems of social enterprise is a major priority and the newly developed Strategic Plan 2022-2025 outlines the need for the organisation to strengthen its social entrepreneurship field capacity. Supporting the organisation in developing such capacities, practices and policies will have a lasting impact on the development of our organisation and its projects and services for the sake of YICs beneficiaries.

The support to be provided by the volunteer, in cooperation with the experts from the board and staff of the organisation, includes:

  • Develop business plan and marketing strategy;
  • Implement capacity building trainings to develop entrepreneurial skills, knowledge and attitudes of the staff;
  • Map fundraising sources and set up a data-base for further use of the organisation.

The project provides an opportunity for the unique expertise of an experienced European volunteer to contribute to daily practices of the organisation, in particular through the development of social entrepreneurship capacity of the organisation and its staff.

  • Direct beneficiaries are:
  1. YIC as a developing organisation.
  2. 25 board and staff members of the organisation.
  • Indirect beneficiaries:

1) young people aged 13-30:

beneficiaries of YIC,

beneficiaries of “Gyumri Youth House” open youth centre,

beneficiaries of “Spitak Youth House” open youth centre.

2) regional and local government, local community, partner organisations in Shirak, Armavir, Gegharkunik and Lori Regions.

The volunteers will be hosted in Gyumri, the second largest city of Armenia.
In Gyumri you can find a theatre, cinema, gyms, a swimming pool, nice central park, beautiful churches, historical monuments and nice view on the mountains. Also you can find a lot of good restaurants and cafeterias.
On free days you can visit different monasteries and temples which are not far from Gyumri (Marmashen is 10 km, Karnut is 10 km, Trchkan Waterfall (Armenian Niagara) 33 km).
The capital city - Yerevan — is approximately 120 km from Gyumri. You can take marshrutka, shared taxi or train. The train from Gyumri to Yerevan costs 1000 AMD which is 2 Euros.
YIC commits itself to assuring a safe and secure working and living environment for the volunteers at all stages of their volunteering experience – from recruitment and preparation, throughout deployment and follow-up.
We are committed to the following general principles to assure good health, both physical and psychological safety for the volunteers as well as all employees and volunteers and other people who have access to our organisation’s activity:
Ensure a safe working environment;
Provide adequate health and safety instructions and information;
Prevent foreseeable incidents and accidents, ill-health and diseases;
Provide training in the areas of safety and security prior to any deployment and assignment;
Take into consideration and transparently share any official information regarding safety and security (both from national, international and foreign sources, directly connected with the country of origin of the foreign staff and volunteers);
Align interventions to those of the security service of the European Commission for the deployment and conditions of the deployment of its volunteers;
Ensure the best possible level of safety in all its activities.
The volunteers will be introduced to the afore-mentioned measures prior to the project deployment (in the official Welcome Infopack); within 24-hours upon arrival to the hosting country (during the induction training), and they will have copies of all the relevant documents both in electronic version and printed copies. The volunteers will also be regularly updated on safety and security situations, especially if there are any changes in the situation at the local, national or global levels.
Volunteers will have regular contact and guidance from their coordinator in the hosting organisation, and will be encouraged to keep regular contact with the sending organisation.
The volunteers will also be assigned a mentor and receive recurrent support from the mentor. The volunteers will be given emergency contact lists and alternative contact information.
The volunteers will have signed an Integrity policy and Code of Conduct and a Project Agreement prior to the arrival to the hosting country, and will be aware of the safety and security situation, possible risks, communication channels and the logic of the communication tree. They will also be reminded of the possible consequences in case of volunteers' misconduct and disrespect of safety and security measures outlined in the Integrity policy and Code of Conduct and Agreement. The volunteers will have to respect the national and internal security rules regarding COVID-19, to avoid its contamination and spreading.

Overall the tasks of the volunteer will be directed towards:

- Develop business plan and marketing strategy;
Implement capacity building trainings to develop entrepreneurial skills, knowledge and attitudes of the staff;
Map fundraising sources and set up a data-base for further use of the organisation.
YIC strives to build meaningful experiences for the international volunteers hosted in Armenia, highly valuing their time and competences and making efforts to use them in a context where volunteers feel appreciated and their work brings maximum positive impact to the local communities.

YIC will demonstrate a needed degree of flexibility throughout project deployment, leaving room for volunteer initiatives, focusing on both local community and the personal-professional development of individual volunteers. Mentor support and additional capacity building will be in place to make sure the volunteer has the sufficient competences to carry out his/her tasks.

The candidate for EU Aid Volunteers must be a citizen of the EU or a third country national who is a long-term resident in an EU Member State, and must have a minimum age of 18 years.

The selection will be done without any discrimination and based on equal
treatment process (same criteria, interviews, etc.).

The minimum requirements for the volunteer are:
- Adaptability
- Flexibility
- English: speaking and writing
- Competences in delivering trainings
- Ability to work with youth and in the team
- Willingness to learn and live in a different culture.

Condition of service

For the volunteer the main challenge will be the experience of living abroad, adjusting to a new culture and the daily difficulties he/she may face in the new circumstances. The ability to thrive under difficult circumstances increases the volunteer’s ability to be a resilient person and is of great benefit to him/her, providing experience he/she is able to apply to many facets of his/her future life.

The whole process of activities of the volunteer will be monitored and evaluated, coaching and support will be provided, monthly meetings and reflection days will be organised with the volunteer and monthly reports will be collected to analyse both personal and professional development as well as project activities, and give direct feedback about it.
YIC is committed to support volunteers' learning and professional advancement, helping them to make the best out of their time in Armenia. The mentor will be the primary support of volunteers, assuring regular practices for professional advancement and recognition through the following:
Assess learning needs of volunteers upon arrival and help them set realistic learning objectives for the service at the beginning, linking them with the long-term professional goals of the volunteers;
Hold regular meetings to speak about developed competences, learning needs, if needed give examples and support in valorising their work and acquired competences,
Organise learning days (on cultural, professional, personal development topics) together with other volunteers and staff of YIC;
Redirect volunteers towards relevant professional development events (including online opportunities);
When possible organise Armenian language lessons for the volunteer, to enable better communication with locals;
Regularly promote volunteers, ensuring visibility of their activities, enabling their participation in local and national events and networking activities, sharing their testimonies, success stories and articles on YIC’s website, social networks, giving credit to the volunteers and highlighting their achievements;
Organise mid-term and final debriefing meetings as specific moments to reflect upon learning objectives and assess project related progress and professional development of the volunteers together with the Volunteer Coordinator;
Inform volunteers about the possibility to request a certificate of completion of participation in the initiative, issued by the Commission;
Upon request provide volunteers with reference letters at the end and after the completion of the project.
YIC has in place tools to support structured learning and recognition for volunteers, such as Volunteer Monthly Report form, staff appraisal form (to be translated into English), coaching tools.

Prior to volunteer's arrival, YIC will make arrangements for volunteer's accommodation either in a rented apartment (individual or shared with other volunteers) or with a local host family. Regardless of the type of accommodation, it will match the requirements of the EU Aid Volunteers initiative, will have the basic equipment, furniture and utensils and will fit criteria:
it will be located in a safe neighbourhood and safe building;
it will meet the safe and security requirements outlined in relevant policies of YIC;
it will meet the standards of living, relevant to the local context : a single lockable room for each volunteer (with considerations for privacy and safety);
it will ensure a healthy environment and relations with others living in the same accommodation.
YIC will make the final choice of accommodation after consulting with the sending organisation, will directly contract the landlord or host family and will be in charge of paying the monthly rent and utilities in a timely manner with relevant proof of expenses.
YIC will also conduct short briefing meetings with the host family and/or neighbours of the volunteer, to explain the reasons of the volunteers' stay and the intercultural specificities. A similar meeting will be held upon arrival of the volunteer, to make the introduction and integrations smoother. Additionally, as a part of Project Agreement the volunteer will sign an annex with the accommodation or house rules, which will include an inventory list of furniture that the volunteer will be able to use and will be responsible to take care of and return (or replace if damaged) at the end of deployment.
If the safety and health of the volunteer is endangered in the proposed accommodation or if the volunteer has conflicts with flatmates or host family which cannot be resolved amicably, the host organisation can propose another accommodation to the volunteer within reasonable timeline and in a similar condition/area.
YIC will provide volunteers with safe and secure sufficient working conditions, compatible with the working conditions of YIC’s staff and international volunteers. This will include a separate workstation at YIC’s office in Gyumri (with a desk, storage space and computer), access to wifi, printer/scanner, stationery, if needed a camera and additional supplies, access to kitchen, tea/coffee and water.
Additionally, volunteers can work in one of the two “Youth House” Open Youth Centres run by YIC in Gyumri and Spitak, especially to carry out workshops or to support the activities of youth workers.
All three facilities run by YIC have building evacuation plans and safety kits in place, the local risks are regularly assessed and will be reassessed prior to volunteers' arrival, each facility has a person in charge of safety and security.
When conducting workshops or activities outside YIC facilities, the mentor will accompany the volunteers and the local hosting institution will insure that the event venue meets safety and security standards.
The volunteer will get recurrent task-related support from the mentor, will be in close contact and well integrated with the staff and other volunteers and will be supported to integrate with the working culture of YIC.
The volunteer will work 5 days/40 hours a week: Tuesday to Saturday, which is the normal workweek of YIC, with Sunday- Monday off as a weekend. Additional to 2 vacation days per month, which can be also taken cumulatively, the volunteer will also be free on Armenian public holidays and own religious holidays (if such are observed).
The working condition will be presented to the volunteer at the pre-departure preparation stage both during online meetings and in written form. YIC will demonstrate necessary flexibility to adjust the workspace to the special needs of the volunteers, within the limits of its capabilities.
A monthly Subsistence Lump Sum (303,85 euros per month), will be paid to the volunteer. In addition, after the return, 100€ of post deployment resettlement allowance per month of deployment done, will be foreseen.
Local travel costs: the volunteer will receive 40 euros per month.
The accommodation will be organised by the hosting organisation.
Visa fees, insurance and international travel (1 round trip ticket) will be covered directly by the sending organisation.

Selection process

The interviews will be held by one representative from the sending and hosting organisation with each pre-selected candidate on the approx. 30-31/01/2022

On the 31/01/2022 the candidate will be informed about the selection results following the interview. The final selection will be done once the volunteer has attended the full training cycle organised by the EU Aid Volunteers programme.
